Responsible Use of Artificial Intelligence

Background

RCLCO is committed to providing objective, independent, and trusted real estate consulting and advisory services. As part of that commitment, the firm uses technology—including artificial intelligence (“AI”)—to support efficiency and consistency in how we work, while preserving the professional judgment, experience, proprietary methodologies, and confidentiality that define our services.

This statement outlines RCLCO’s approach to the responsible use of AI and is intended for clients, partners, and the public.

Purpose

The purpose of this statement is to explain:

  • How AI is used at RCLCO
  • How AI is not used at RCLCO
  • How client confidentiality and proprietary information are protected
  • How human oversight remains central to all RCLCO work

RCLCO’s Philosophy on AI

AI is a tool that supports our professionals—it does not replace them.

RCLCO does not rely on AI to exercise judgment, perform independent analysis, or make recommendations. All conclusions, insights, and deliverables remain the responsibility of RCLCO’s professionals and are grounded in industry experience, market research, observations, and analysis.

Appropriate Uses of AI

At RCLCO, AI may be used in limited, controlled ways to support the team’s efficiency including:

  • Productivity and workflow assistance, including notetaking and scheduling
  • Drafting and refining language, including editing text for tone, consistency, or readability
  • Supporting research, synthesis, and summarization of information*
  • AI-powered search and retrieval to support knowledge management and appropriate use of RCLCO’s intellectual property
  • Automatically updating data inputs in standardized charts and report narratives to improve accuracy and consistency
  • Proposal and RFP support using standard, non-client specific materials

All AI-assisted content is always reviewed, verified, and finalized by RCLCO professionals prior to use.

*Client or confidential information may be processed solely within our secure, internal proprietary models. The submission of any client or confidential information to third-party, publicly available AI models is strictly prohibited.

Uses of AI That Are Not Permitted

AI is not used at RCLCO to:

  • Perform independent market, financial, or strategic analysis
  • Make autonomous decisions regarding valuations, forecasts, or professional conclusions
  • Replace proprietary research methodologies, models, or analytical frameworks
  • Substitute for human judgment or professional review
  • Train internal or external AI models on client data or RCLCO data and methodologies

Data Privacy and Security

Protecting client confidentiality and proprietary methodologies, approaches, and information is essential at RCLCO. Any unauthorized use of client data is strictly prohibited and will result in severe penalties including termination.

RCLCO primarily uses internally managed AI systems that operate on secure infrastructure and do not share or train on client data externally. When external AI tools are used, they are limited to non-proprietary, public, or generic information and never include confidential or client-specific data.

Human Oversight and Accountability

AI outputs do not represent final work product. All deliverables are subject to RCLCO’s established quality control, peer review, and leadership oversight processes. Responsibility for all work remains with RCLCO’s professionals.

Ongoing Commitment

AI technologies continue to evolve. RCLCO regularly evaluates its use of AI to ensure it aligns with our professional standards, ethical obligations, and client expectations.

Our commitment remains unchanged: trusted advice, human expertise, and client confidentiality first.
